How to take part & FAQs

POLLEN Conference, Barcelona, June 30 - July 2, 2026

Participation in POLLEN 2026 proceeds through two stages.

First, we welcomed submissions of proposals for panels and other events. This stage was completed on 31st July 2025.

Now we are at the second stage when people who want to be included in panels explain what they want to talk about at the conference. Please see all the information on the Call for Presentations & Posters page.

When all the panels have been populated by different papers and activities, we will then prepare the conference timetable. In addition, we will also be curating a large space for research posters and artwork. Time will be dedicated in the programme to talking to poster presenters.

How do I submit my panel and paper ideas?
Details on how to submit can be found on the Call for Presentation & Posters page.

Where will POLLEN2026 take place?
The conference will be taking place at two different locations on different days.
Universitat de Barcelona: 29 June & 1-3 July
Universitat Autònoma de Barcelona: 30 June
There will also be other events taking place nearby.

When do presentation proposals have to be submitted?
The deadline for submitting papers to panel proposals is 23:59 on 5th December 2025.

I am having problems submitting my proposal, what do I do?
We have prepared a useful submission checklist which covers the most common issues, if this does not resolve the problem, then please email pollen(at)nomadit.co.uk.

When do I have to register & pay the conference fees?
You only have to register and pay fees after decisions about the acceptance of panels or papers have been communicated. All those participating in panels as presenters, convenors, etc should register by the end of the early-bird period (approximately 10 weeks before the start of the conference).

What are the costs of attendance, and will bursaries be possible?
Conference fees will reflect seniority, access to funding, geographical location etc. Some bursaries may be available, which we will announce, with the fees, on the website.

How much can I do at this conference?
Each person can appear up to three times in the programme as panel convenor, presenter on some sort of panel or as an organiser of a workshop or walk outside of the main panel sessions.

But I have many great ideas, can I present more than one of them in the conference?
No. You will quickly see that everyone at this meeting is brimming with good ideas. We cannot begin to make space for all of them. The fairest thing is to ask everyone to choose one of them.

Why can’t I pitch this idea to several panels?
It would present panel convenors with a headache. They might say yes to 5 presentations and then have them all drop out if they were also selected by another panel. Please choose one panel for your presentation.

When will panel convenors decide who is on their panel?
They have until 19th December to decide which ones you include. They have been asked not to communicate any decisions about which presentations are included until they have seen all the proposals.

What publication plans do you have for this conference?
We are not publishing a conference proceedings – this gathering is too large for that. Please pursue your own publication plans, while heeding this guidance on the publication landscape.

Do I have to present in English?
No. Any language can be used, and we anticipate multiple panels will be held in Catalan, Spanish and French. It will be clear in the programme what is the panel’s language. Panel organisers can choose to arrange for any translation their audiences need. We will not be arranging translation.

If I propose a paper or panel that is not accepted does that mean I cannot come?
Anyone is welcome, regardless of whether they present. If there is not room in the programme for every submission we may suggest people present their work in the poster space, or there is a possibility of transfer to another panel.

But presenting a poster feels like missing out.
Presenting work on a panel is a good experience. But a panel is over quickly, and its audience can be small. Whereas a poster is on display for longer, and we will be dedicating conference time to perusing the posters. More people will have a chance to see your work if it is on a poster.

I have a great idea for presentation, but I have missed the deadline. Can I still present?
No. Once the deadline has passed, we will be busy finalising the programme so it will not be possible to accommodate late submissions.

I paid the fees but can no longer attend due to unforeseen circumstances. Can I be refunded?
Cancellations more than three weeks before the conference (before 08 June 2026) will be refunded, less a fee of €70 to cover administrative costs. Cancellations after that point will not be offered a refund, due to costs already incurred.

Will virtual presentation or participation be possible?
POLLEN 2026 will be a face-to-face conference. If you want to make a presentation from another location, then panel organisers may choose to arrange that. We will not be supporting that centrally. Virtual presentations still entail registration costs.

I cannot come at all, does this mean I will miss out?
Some of the plenaries and meetings will be available on Zoom with free access.

I want to bring my children, what support will you provide?
We hope to have some childcare facilities which you could opt to pay for when registering, and we will be inviting parents with children to self-organise collaboratively if they wish.

Barcelona is an amazing vibrant city with a huge amount of struggle and activity with which I would love to connect, will that be possible?
We will be setting up trips for the day after the conference. Some panels may take the form of walks and visits.
