Contacting convenors & presenters
While convenor/author email addresses are not displayed on the panel pages for privacy reasons, the in-built secure email messaging system allows site visitors to email convenors and accepted presenters from the Conference Programme page.

Contacting participants in your panel
You can easily email any or all the participants of your session through the editing page accessible from your account. Use the “Send an email” button, then select select which group(s) in the panel you wish to contact from the list. Then the “Email” button will open a new email in your default application or you can copy the email addresses using the buttons below that.

Participants can use the editing page accessible using the icon to the left of the proposal title in the conferences tab of their account to edit their proposals.

Acknowledging co-authors and collaborators
There are two ways of adding your co-authors to your presentation proposal.
For co authors who will not be attending POLLEN2026, please enter these in the “Acknowledgements” section. Ensure to confirm these changes with the [Save] button at the top of the page.
For co-authors who will be attending POLLEN2026, use the “+ add co-author” function.

Ensure that the panel is open to proposals
Some panels are pre-arranged and will not be accepting proposals, it is easy to see which panels are open to accepting proposals as there will be the “Propose” link in the top right.
Additionally if the panel has already received some proposals, the number of proposals received will be displayed next to this.

Ensure that you are still logged in
Use the log in button on the POLLEN2026 Programme page to connect to your account.
If your internet connection is unstable you may become disconnected while filling in the proposal form, which will prevent you from submitting your proposal.
If this is the case it can be specially helpful to prepare your answers in advance, then quickly copy and paste them into the proposal form.

Ensure that your entries meet the requirements of each section
- Title: fewer than 200 characters
- Short abstract: 10 – 300 characters
- Long abstract: 10 – 250 words
- Acknowledgements: fewer than 200 words
- Authors: ensure that you select the “Presenting” tag for yourself and list your co-authors who will not be attending POLLEN2026 in the “Acknowledgements” section

Preview & confirm your submission
Once you have filled the form click the “Show Preview and Submit” button, review the information submitted and then click “submit the proposal” to confirm the submission.
