Call for presentations & posters POLLEN2026, Barcelona Call ends 05 December 2025

The call for presentations and posters is now open until 23:59 CET on Friday 5th December.

Before proposing anything, please read the conference rationale & purpose, the rules below, and then browse the list of panels in the conference programme.

Please note that you can only submit one proposal to one panel.

What you can do

Individual delegates can present only once in the conference programme and may have the following roles for a total of three roles in the programme.

A delegate may:

  • Be a convenor of one panel or roundtable, or one of the ‘different format’ panels
  • Present in one panel or roundtable, or one of the ‘different’ format panels
  • Lead one sort of alternative activity (workshop/walk etc)
Session structure

There are two sorts of panels listed here.

Some will be the traditional presentation followed by discussion format. How long you get will depend on how many people eventually take part in your panel. Most will aim for 4 presenters talking in a 90 minute session, which means 15 minutes of presentation each and then 30 minutes discussion. But some panels will be more crowded than that.

Some of the panels are labelled as ‘roundtables’, or some sort of different format, and these will involve no presentation but instead a sort of managed discussion. Speakers may be invited to kick things off with some initial remarks.

You will see for each panel what their proposed format is. If you have lots of research findings to present it is best not to choose a roundtable for that.

Proposing a presentation

First you will need to set up POLLEN2026 conference account, if you do not already have one.

You will need to have ready a presentation title, a short abstract (300 characters) and a longer abstract (250 words). You will also have the opportunity to add any co-authors and funders to the “Acknowledgements” section.

Please remember that you can only submit your presentation idea to one panel.

You are welcome, and encouraged, to discuss your ideas with panel convenors but all proposals must be made via the online form, not by email.

To propose a presentation there is a ‘Propose’ button in the title section of each open panel. First log in to your account using the link at the top of the programme page, then navigate to the panel you are interested in and click on this button to propose directly to that panel.

The call for presentations will remain open until 23:59 (CET) on Friday 5th December. Convenors will then be asked to make their decisions over the presentations proposed to their panel and communicate those to the proposers, marking them up within the login environment.

Accepted presentations will be announced in January 2026. If your proposal is accepted you will be told in January and the full list will be announced in January 2026.

Contacting panel convenors

We have not provided convenor emails for privacy and anti-spam reasons, though we suspect you would be able to track them down.

There is also an in-built secure email messaging system that is built into the conference programme. Click on a panel, then on a convenor and use the mail icon to contact this convenor. Logging into your account first (at the top of the programme page) will make this quicker and easier.

Proposing a poster

Poster sessions offer an opportunity for those who do not wish to present orally, or whose work is not yet at the presentation stage. Posters must conform to the same basic requirements as outlined for the panel sessions. Sessions will run throughout the conference, with dedicated slots when poster presenters will be available at their respective display to answer questions/discuss their topic with colleagues.

If you want to submit a poster then please do so to the POLLEN2026 -Poster submission in the programme with the following:

  • poster title
  • the name/s and email address/es of presenter/s
  • a short abstract of fewer than 300 characters
  • a long abstract of fewer than 250 words
Managing your Proposal

On submission of the proposal, the proposers will receive an automated email confirming receipt. If you do not receive this email, please first log into your account for POLLEN2026 and check if the proposal is visible there, under the conferences tab. If it is, it simply means your confirmation email got spammed/lost; if it is not, you will need to re-submit, as for some reason the process was not completed.

Proposals will be marked as pending until decisions are made by the panel convenors.

Official acceptances will be confirmed in January 2026.

Strategic advice

Get in touch with panel convenors to see how much demand they have for their panels. This is an optional step, but it may help to gauge where your idea best fits.

Also bear in mind that good proposals not accepted in their original destination may be entered into a transfer process. If panel convenors cannot accommodate you but would love to see your work at POLLEN then they can mark it for transfer which may see it feature in a different panel, or be welcomed as a poster.
